HOLIDAY ACRES PROPERTY OWNERS  BOARD MEETING

May 1st, 2019 @ 6 pm

BRYAN LOOPER RESIDENCE

CALL TO ORDER: 6:11 PM

BOARD MEMBERS PRESENT: Bryan Looper, Mike Dallam, Michael Preuit, Linda Lattin

 

BOARD MEMBERS ABSENT: Chuck Allen

 

GUESTS: Catherine Looper, Sherry Dallam, Neil Smith

 

APPROVAL OF AGENDA: approved by Bryan L. seconded by Linda L.

 

SECRETARY REPORT:

Approval of Minutes from March 7th, meeting: Moved to next meeting

 

TREASURE’S REPORT:

P/L & Balance Sheet was handed out through May 1st.

Talked about the letter going out to property owners.  Dating it for May 15th to go out.

George McManus property sold and new owners have been sent a welcome letter.

Collections progress list was handed out with who is still outstanding.  Agreed to work with B. Giles on his payment length of 14 months.

PAY BILLS – Graham Smith $2228.00 and Insurance $1088.00

Motion to approve Treasurer Report made by Bryan L. seconded by Michael P.

 

NEW BUSINESS:

Neil Smith is glad we have a HOA but feels it’s voluntary and has filed a criminal case against the HOA with the District Attorney for extortion.  He says the case is in DA’s hands now.  According to Mr. Smith the HOA was started for the legal action against the Mobile homes only.  He has bad feelings against the HOA.  He stated he paid dues once just to vote against what C Justus and the others were doing back then.

Bryan L stated we are trying to get things together and how we are an active board who are just trying to make things legal.

Mr. Smith just wants to be left out of the association.  He says he filed suit because we didn’t respond to his letter.  Mike Dallam said he had talked to Mr. Smith on the phone after receiving his letter.  Mr. Smith said yes he had but didn’t get a written response from the board. (This meeting was the 1st meeting since receiving the letter).

We have asked the attorney for clear direction on this issue.

Talked about the notices that have to go out before the annual meeting in September.  Do they have to be certified or regular mail. Can they be hand delivered and if so is proof of delivery required?  What kind of signature pages are needed?  Deadline?

 

Estimate on work around mailbox cluster – tabled till next meeting

Concerns of damage to road at 2265 Shenandoah was discussed and the board feels that Road & Bridge should handle that issue.
